The Business & Project Support role is a pivotal position supporting senior leadership through proactive coordination, structured communication, and high‑quality operational delivery. This role acts as a trusted partner to the Director, enabling effective decision‑making, optimising time and resources, and ensuring clear oversight of projects, stakeholder activity, and governance requirements in a fast‑paced, high‑performance environment.
The successful candidate will demonstrate exceptional organisation, sound judgement, and the confidence to engage across all levels of the organisation while representing Cairn Homes’ brand, ethos, and professionalism.
Key Responsibilities
Executive & Operational Support
- Provide comprehensive calendar and mailbox management, ensuring priorities are managed effectively and senior leaders are fully briefed and prepared.
- Act as a first point of contact, drafting, managing, and routing internal and external correspondence, exercising discretion and judgement where management input is not required.
- Maintain oversight of key team activity, ensuring alignment with priorities and deadlines.
Project & Activity Oversight
- Support project oversight through the tracking of actions, monitoring functional activity, and maintaining visibility of key deliverables for the Director.
- Coordinate inputs from functional leaders, translating requests into clear actions, issuing follow‑ups and reminders, and consolidating responses into high‑quality summaries and reports.
- Provide structured project support to both internal initiatives and external engagement activities.
Stakeholder & Relationship Management
- Support stakeholder management across the organisation by supervising functional data and activity, ensuring timely and accurate communication.
- Build and maintain strong collaborative relationships with internal and external stakeholders, acting as a trusted and professional representative of Cairn Homes.
- Actively support engagement initiatives that enhance Cairn’s brand, culture, and reputation.
Leadership, Governance & Meeting Support
- Work closely with the Executive Assistant to the CEO and the Company Secretary as required, ensuring seamless coordination and operational continuity.
- Support the coordination and delivery of leadership meetings, company forums, and governance‑related meetings.
- Prepare high‑quality meeting packs for internal and external meetings, ensuring information is accurate, well‑presented, and tailored to senior audiences.
Meetings, Events & Logistics
- Support the organisation of functional forums and events, including travel arrangements, accommodation bookings, venue and meeting room coordination.
- Ensure logistics are efficiently managed to support productive, professional, and well‑run meetings and events.
The Ideal Candidate
- Minimum of 4 years’ experience in a demanding executive, administrative, or coordination role within a fast‑paced environment.
- Strong IT proficiency, with advanced working knowledge of Microsoft Excel, PowerPoint, Teams, and Outlook.
- Proven ability to communicate confidently and professionally at all levels across functional teams and senior leadership.
- Highly organised with exceptional attention to detail, capable of managing multiple priorities and working to tight deadlines.
- A proactive, self‑motivated team player with the confidence to work independently and exercise sound judgement.
- Excellent written and verbal communication skills.
- Positive, enthusiastic, and eager to learn, with a professional approach and growth mindset.
