Cairn has a unique opportunity for a high calibre Corporate Receptionist who will work closely with the operations team in our central office in Dublin 4. This role will play a key part in ensuring the office is maintained and the teams supported to the highest standards at all times. The successful candidate will be the first point of contact for both internal and external stakeholders, with a focus on ensuring best in class presentation of our business. The development of strong working relationships with all departments at all levels in our business is critical to this roles success.
Key responsibilities:
Typically the candidate will be expected to undertake and assist with the following duties:
- First point of contact for all central office visitors.
- Managing incoming calls and taking relevant and timely action in a concise and professional manner, ensuring all items are followed up and closed out.
- Maintaining the reception area and meeting spaces to the highest standard at all times. * Management of internal meeting rooms and hot desks, ensuring quick turnaround between meetings as well as anticipating department needs including catering as and when required.
- Preparation and proofing of documentation and reports, including collation and formatting of same.
- Supporting functional teams in relation to administrative requirements including but not limited to printing packs, documentation, reports & contracts.
- Maintaining internal contact lists with monthly auditing.
- Responsibility for maintaining office supplies centrally, providing site support as required.
- Calendar and diary management.
- Arranging couriers, managing post (incoming and outgoing) with some booking of travel (flights, cars, hotel).
- Facilities management including office contracts, cleaning and liaising with landlord.
- Partnering with the IT & People team to coordinate new starter onboarding.
- Adhere to the grooming standard/ business dress code required for the Central Office Reception.
Tasks will be allocated to reflect increasing levels of development and experience.
The candidate;
- A minimum of 2 years’ experience in a similar role.
- To be a self-starter with the ability to work on one’s own initiative.
- Strong attention to detail & forward planning.
- Proven track record in representing an organisation to the highest standard.
- A strong ability to multi-task in a fast-paced environment where relationships, organisation, and a high attention to detail is required.
- Ability to develop relationships with a variety of stakeholders.
- Confident in Microsoft Office applications (Word, Excel, PowerPoint).
- Customer focussed individual with a “can do” attitude
- Ability to work on-site in our Central Office full time.
