Lead Site Admin
We are looking for a Lead Site Administrator to join our team.
Key responsibilities
Typically, the candidate will be expected to undertake and assist with the following duties:
- Support to Regional Manager
- Provide support as delegated to include calendar management, monthly report compilation,
- minute taking and general administration.
- Draft correspondence for internal and external stakeholders.
- Coordination of meetings and events for the Regional Manager.
- Be a point of contact for queries and escalate as appropriate to the Regional Manager.
BCAR & Homebond
- Liaise with sub contractors to ensure timely and accurate submission of ancillary certs for
- BCAR (Building Compliance) submissions.
- Filing and reviewing of ancillary & commissioning certs onto the Company Document
- Management System (Zutec) for Bcar and Homebond compliance purposes.
Zutec
- Obtain, organise, monitor & maintain site related construction documents on Zutec.
- Be the first point of contact for Zutec related queries from both site team, Design and
- subcontractors.
- Train subcontractors and site team on use of Zutec.
- Give users access to Zutec, Maintain site user distribution lists
- Ensure timely uploading of construction documents by subcontractors.?
- Escalate system issues or queries to central DMS Admin Team.
- Site implementation and ongoing communication of Zutec expectations and auditing all
- uploads for company format requirements.
Site Team
- Maintain site progress trackers in conjunction with site teams, as required for different
- elements.
- Ordering office inventory.
- Documenting meeting minutes, and follow up actions.
- Administrative support to site team as necessary.
- Complete subcontractor site inductions and face recognition in the absence of Health and
- Safety.
- Liaise with Utilities Coordinator to ensure timely and accurate handover of unit to
- purchaser.
- Update and maintain the CRM system
- Ensure standardized recording and filing of documentation across the region.
- Provide training and support to new site admins with the assigned region.
The candidate – key requirements:
- Minimum 2-3 years administrative experience.
- Good understanding of the construction industry not required, but preferable.
- Pro-efficient in all Microsoft Office applications (Word, Excel, PowerPoint).
- Strong IT skills.
- A strong ability to multi-task in a fast paced environment
- Stakeholder relationship building.
- High attention to detail.
- Self-motivated team player with the ability to work on one’s own initiative
- Customer focused individual with a “can do” attitude
- Focus on deadlines.
