Cairn has a unique opportunity for a high calibre detail focused Utility and Operations Administrator to provide cross departmental assistance including mainly focused on  the supporting of the fleet and plant function and the department lead. Also supporting the utilities contract process, HomeBond process and Building services team as required. This is a versatile multi-tasking role,  supported by several closely related established functions and the department lead.

Key responsibilities:

  • Provide cross functional administrative assistance to the Building Services and Utilities, DMS, and Fleet and Plant departments
  • Assistance with fleet and plant administration – tracking of requests and answering queries, compiling data contributing to monthly reports
  • Administration duties associated with the evolution of the Plant management function, including the recording and circulation of process documents and tracking spreadsheets, liaising with site for updates as required
  • Assisting the departmental lead with administrative support as required- Diary management, arranging meetings, updating documents, organising and recording folders
  • During periods of high demand, supporting the existing Utilities team, liaising with site personal and third parties as required.
  • Submitting utility applications as required in conjunction with the M&E teams – Communicating with external design teams and internal site teams, completing application forms, compiling supporting documentation and monitoring progress.
  • Multipurpose tasks – compiling of ESG (Environmental, Social & Governance) information & other miscellaneous reporting and assisting in specific exercise evaluation  under the utility, M&E and operations function.

The candidate:

  • Minimum 2-3 years’ experience in an administration role  
  • Good communicator and ability to build good working relationships with internal and external stakeholders.
  • Experience managing high-volume administrative requirements
  • Pro-efficient in all Microsoft Office applications (Word, Excel, PowerPoint)
  • A strong ability to multi-task in a rapid-paced environment
  • High attention to detail
  • Self-motivated team player but with the ability to adapt and work on one’s own initiative
